We collect only the data you choose to provide when submitting a contact or enquiry form on this website:
- Full name as entered in the form
- Email address as entered in the form
- Service area selected from the dropdown
- Message content as entered in the text field (optional)
We do not collect any other personal data passively. We do not use tracking pixels, advertising networks, or analytics platforms.
3. How We Use Your Data
The data you submit is used solely to:
- Respond to your enquiry or message
- Follow up on a potential project, partnership, or service request
We do not use your data for marketing without your explicit consent, and we do not add you to any mailing lists as a result of submitting the contact form.
4. Legal Basis for Processing
We process your personal data on the basis of legitimate interests: responding to enquiries submitted voluntarily through our contact form is a reasonable and proportionate use of the data provided.
5. Data Storage and Transmission
Contact form submissions are transmitted via EmailJS, a third-party email delivery service. EmailJS processes your data solely to transmit your message to our inbox. You can review their privacy practices at their website.
We do not operate a database or CRM system that retains your form submissions beyond our email inbox. Emails are stored in accordance with standard email security practices and are only accessible to authorised personnel within Halite & Ember.
6. Third-Party Sharing
We do not sell, rent, or share your personal data with third parties for their own purposes. Your data is not passed to advertisers, data brokers, or any other commercial parties.
The only third party involved in data handling is EmailJS (for form transmission, as noted above).
7. Data Retention
We retain contact enquiry emails for as long as is reasonably necessary to respond to and follow up on the enquiry, or as required by applicable law. If you would like us to delete your data, see Section 9 below.
8. Cookies
This website does not use tracking or advertising cookies. We use a single session-level item stored in localStorage (key: he-theme) to remember your light or dark mode preference. This does not identify you personally and is stored only in your own browser.
9. Your Rights Under UK GDPR
As a data subject, you have the following rights:
- Right of access: You may request a copy of the personal data we hold about you.
- Right to rectification: You may ask us to correct inaccurate data.
- Right to erasure: You may ask us to delete your personal data where there is no compelling reason for us to retain it.
